Transferring Members Back into Events & Adding Dates to Events

Deanne Dinio 6 months ago in Events / Programming updated 4 months ago 2

We have had some students sign up for one class (A) and then want to transfer to another class (B). The transfer involves withdrawing the student from A, refunding the class fee to account credit, enrolling the student in B, and paying for B with the account credit. However, when students want to transfer back to A, the platform assumes A is paid for, instead of posting what is actually due as shown below:

As a work around, we use Misc Fees to make sure the account credit is going to the correct revenue category. However, if we gather revenue information with an Events, Camps, And Class Summary, because the Misc Fee isn't attached to a class, it won't show up in this report, and out revenue from specific programs is skewed.

On a similar note, sometimes we decide to add an additional date to a class (court space opens up, weather was good so a makeup week wasn't needed etc.), and we offer to students the opportunity for another class at a single class rate. When the extra date is added to a class, the students in the class aren't automatically registered. When we register them, the class also shows as paid, even though they owe for the additional class. Similarly, the workaround is a Misc Fee which wouldn't end up revenue for the specific class.

Having these issues addressed or making event transfers easier would be appreciated.

Hi there! Adding onto this, students aren't able to transfer themselves between programs with ease. Unless they are speaking with our staff, they withdraw from a program and proceed to pay again and enroll in another program. If students aren't fine with account credit, we have to refund to the original form of payment and pay more fees to process this. An event transfer system for both admins and members would be appreciated.
