Feature Request / Suggestion: Advanced Billing Safeguards & Account Verification Controls

Hi CourtReserve Team,

I would like to share a feature request aimed at preventing billing errors, accidental charges, and costly credit card chargebacks.

Across busy facility locations, high transaction volumes often lead to front desk oversights or member errors during online reservations. For example:

• Private Bookings & Duplicate Names: When a player creates a private booking and adds friends to the reservation, they select members from the facility database. If there are multiple members with the same name (e.g., three different "John Smiths"), players often cannot tell which one is their friend. This results in registering the wrong account, causing the incorrect person to receive unwanted notifications and charges, leading to confusion and disputes.
• Front Desk Oversights: Misallocated fees or account credits due to fast-paced environments where membership details aren't double-checked.

These misallocated charges frequently result in banking disputes and chargeback fees ($20+ per occurrence), creating significant administrative and financial friction.

To help facilities mitigate these issues, we would like to suggest introducing customizable Billing Safeguards and Verification Controls within CourtReserve:

1. Player/Member Identification Enhancements:
   • Display unique identifiers (such as Membership ID, avatar/photo, or partially masked email) when players search and add other members to private bookings to prevent selecting the wrong person.
   • Alternatively, you could implement a 'Pending Approval' workflow. This would allow either the reservation owner to review and approve added registrants, or require the added registrants to confirm their own registration before it is finalized.
2. Staff Billing Safeguards:
   • Mandatory Confirmation Screens: A pop-up prompt before applying any charge, fee, or account credit, explicitly displaying the customer’s Full Name and Unique Membership ID.
   • Double Confirmation / Dual Authorization: Option to require double confirmation or staff PIN re-entry for specific billing actions or credit adjustments.
   • Role-Based Credit & Fee Restrictions: Granular permission settings limiting which staff roles can issue account credits or apply specific manual fees.
   • Inconsistency Warning & Charge Blocks: Automated system flags or blocks that trigger when attempting to process transactions with profile discrepancies (e.g., mismatched membership status).

These preventive controls within the platform would drastically reduce human error, improve member experience, protect facilities from chargeback risks, and ensure higher billing accuracy.
