Ability to add Event Guests (and pay)

Tim Owens 7 years ago in Events / Programming updated 3 years ago 19 4 duplicates

We've been asked for the system to allow a member to bring a friend to an Event.  This would mean that there would have to be a way for the system to allow a "guest" to be added to the Event and that the member pay for that guest a the time they are registering on-line.

I'm thinking this would be a one time thing and the "guest" would then decide if they want to become a member.  It could be set up similar to where you have someone reserve a court and "invite" others to attend.

"It could be set up similar to where you have someone reserve a court and "invite" others to attend." I thought that this feature would be part of matchmaker... looking for a player with a court time reserved.. ??

And I thought adding a guest to a court - was set up under the latest guest package. I guess adding a guest to an event such as a league would sort of be the same thing... ??

AnitaRose - this feature is more for those wanting to allow the general public or a "guest" to come to a clinic, register for a tournament, etc, without having to create an account in CourtReserve.  This would also feed into the max registrants as well as allow guests to pay or have a member pay on their behalf.  Thanks!

Tim's service has been perfect for our club.  His software is a huge improvement from what we were using previously.

There appear to be quite a number of different features being requested under this heading.  I will address one scenario that I think applies to Court Reserve clients that own courts, as well as clients that rent courts from schools or Recreation centres.  We are in the latter group.  We use Events for Badminton "Dropin".  This works great for us, as only registered CR members can book these events.   In this scenario, all players attending are easily displayed, along with their vaccination status.  There is mandatory contact tracing for indoor events under our current public health order in British Columbia.   I am sure most clubs that own courts will have lots of Dropin type events similar to our Doubles Dropin on rented courts.

For clubs that own and rent out courts, they would use the reservation system in CR.  In this case, I presume that I could sign up for a court, look up other registered members, and add them to the court as my guests.  I understand that these members would be notified regarding their registration, and would be able to look up and find these upcoming reservations as well.

For clubs that rent their courts from others, we must use the Events module.  In our case, we set up an event in our local Parks and Rec facility for renting out a court, usually at an hourly rate.  We have 4 courts, so 4 players can rent out a court.  To record the other players using that court, we needed to add a custom field:  "Partner's Name(s) are:".

This is a free text field, and this is very limiting. For Covid tracing, it is not helpful to enter "Bob, George and John".  Also, Bob, George and John will not get a reminder or have any record of this court rental in My Events.  If you print an attendance record for this event, it will only list the 4 players renting the courts, but not their partners.

Because of Covid, we basically have made it mandatory that everyone playing must be fully registered in Court Reserve, with full contact information as well as vaccination status, including Guest players.

We are hoping that when we are using Events for court rentals, we would have the ability to "add partners" from the membership file, not as free text.  In our case, we would assume the renting player would pay for the court, and partners would settle with the renter.  While it would probably be sensible to also be able to add non-members as guests as free text, we would want to be able to turn this feature on or off.  Again, with covid, we want full contact info for everyone, and would require all guests, to be "registered" in CR with a guest membership.

Rob Carruthers,

Nanaimo, BC.

We are a local Badminton club renting court time from a Community Recreation Centre.  We are using another club management program currently for online booking of our sessions, but we are looking at other vendors, that can better deal with some of the work arounds we are dealing with.

Currently, we get about 6-8 hours of court time per week.  We would like to be able to use events, basically to book courts, but also add a partner for singles, or partners for doubles.  Because of Public Health rules related to Covid tracing, we need to have a record of exactly who played on any day.  We could make use the Event Registrants field and make it mandatory: "Enter Partner's Name".  That will meet the public health ruling, but the partner won't be able to see what they have been registered for.

I am hoping that the existing tools for adding a partner to a Reservation, could be used to add a partner to an Event.

Our current software cannot do this either.  By adding "members" as your partner, rather than free text, then your Partners could then hopefully see themselves in My Events.  This would be attractive to other small community clubs that face the same Covid issues as us, and would like to implement Online booking solutions for their clubs.

Rob

We have "members", "guest members" (have CR logins), and guests (have no CR logins).

Guest members (can login and book) must pay a miscellaneous fee of $15 per day when they make a court reservation.  Administrators manually have done this as a work around using the edit pencil however if there were a way to have the miscellaneous fee attached to the membership then it would automatically populate when the booking is made.

Guests (cannot login and book) must pay a miscellaneous fee of $15 per day when they are added to a court reservation.  Administrators manually have done this as a work around using the edit pencil, however if there is a misc fee selection PER GUEST line rather than for the booking as a whole, then a guest fee can be easily applied to each guest, and paid for each guest.

Monica,

This is already on our board as a separate improvement to events.

Lori - this is already a high priority for us in Q1 2022 called GUEST ON EVENTS.  I'll merge this idea into that one.

Hey Carole,

We are doing a project in Jan/Feb that will allow GUESTS/PARTNER on events and this will be incorporated as part of that.

Thanks,

Tim

Tim,

Sounds good and thanks for getting back to us!

Any update to adding guests to events? Our use case is a member wants to bring a guest to drop in tennis event, they just want to quickly add the guest when the member registers for the event so we have an accurate headcount. Thanks.

Matt, this is going to development next week!

Hey Tim, will this also integrate with the members being "Allowed number of guests every (day, week, month, year)"?
It would be awesome if it did.

Hey Tim,

We are a private member club but members regularly have guests come and stay. Would be awesome if they had the opportunity to 'add guest' to any event reservation that is on the CR app/website. Had a fair few people ask for this! Also, for parents who want to register children (under 16) for clinics, this would be super helpful to know how many are coming as right now we are having 3 'parents' register but then 11 kids show up.

Thanks for all that you guys do!

We are a small summer tennis club in a vacation area and members regularly bring guests.  Having guest registrations for events would be a great feature.  We are using events for round robins and clinics.  The ideal guest registration feature would allow members to register guests for an event X days before the event and after members have had X days to register. i.e. an event might open up for member registration 7 or 14 days ahead of time and if it isn't full by 1, 2 or 3 days before the event then members can register guests.
